Most Case Studies Are Unciteable Because They Contain No Facts

A case study saying a client saw significant improvements in efficiency contains zero extractable information. The format is one of the strongest citation opportunities a company has and most of them are written in a way that guarantees nothing can be pulled from them.

Case studies should be the easiest citation win a company has. They contain original information that exists nowhere else, which is the definition of the non commodity content covered in the non-commodity content guide. No model can synthesise what happened at your client's company.

Then most of them get written like this: a leading provider in their industry was facing challenges with efficiency, partnered with us, and saw substantial improvements across key metrics. Nothing in that sentence can be extracted, verified, or cited. It is a case study with the case removed.

Named Clients and Real Numbers Are the Whole Format

Two things make a case study citable and both are frequently negotiated away.

A named client. Anonymous case studies about a leading financial services firm are unverifiable claims. A machine has no way to distinguish them from marketing copy, because functionally they are marketing copy. If a client will not be named, you have a testimonial, not a case study, and it is worth being honest with yourself about which one you are publishing.

Specific figures. Not improved significantly. Not increased substantially. An actual number attached to an actual metric over an actual timeframe. Reduced time to first response from fourteen hours to under three across a six month period is a fact. Dramatically improved response times is a mood.

I understand why these get softened. Legal wants approval, the client is cautious, the number was not as good as the pitch implied. But softening removes the only thing that made the format worth publishing.

What to Do When the Client Will Not Be Named

Get specific about everything except identity. A mid sized logistics company with roughly two hundred employees operating across three European markets is anonymous and still concrete. A leading enterprise is anonymous and empty.

Keep the figures even when you lose the name. A specific number attached to a described but unnamed organisation is meaningfully more useful than a vague claim attached to a named one.

The version I would refuse to publish is anonymous and vague, because it asserts success while providing nothing anyone could check. That is closer to advertising than evidence and readers can tell.

Structure Determines What Gets Extracted

The conventional problem, solution, results structure works and most implementations bury the results at the bottom.

Put the outcome first. One sentence at the top stating what changed and by how much, then the narrative explaining how. This is the BLUF principle applied to a format that traditionally saves the payoff for the end.

Someone asking whether your product actually works wants the result. The story of the implementation is context for that result, not a preamble to it.

Use headings that state findings rather than labels. A heading reading Results tells a parser nothing. A heading reading Support response time dropped from fourteen hours to three carries the fact itself, and section headings are extracted more reliably than body text.

Schema for Case Studies Is Mostly Article Schema

There is no CaseStudy type in schema.org. Article or BlogPosting with a clear headline and a named author is the practical choice, following the stacking approach in the schema markup guide.

Where a case study includes a client quote, Review or Quotation markup on that quote adds structure a machine can use, and it distinguishes the client's words from your narration.

Naming the client organisation in an about or mentions property connects your case study to that company as an entity, which is the entity linking mechanism from the entity based AEO guide. A case study about a company an engine already recognises inherits some of that recognition.

Case Studies Decay Faster Than Companies Admit

A case study from 2021 describing a product that has changed substantially since is a document asserting current capability based on an old version. Nobody thinks of it as stale because case studies feel like historical records rather than claims about the present.

They are read as claims about the present. Someone asking whether your product handles a use case gets a four year old case study saying it did, using an interface that no longer exists.

Date them prominently and consider retiring or refreshing anything past a couple of product generations, which is the pruning judgment covered in the pruning guide. Refreshing usually means going back to the client for current numbers, which is work, which is why it rarely happens.

One Detailed Case Study Beats Five Thin Ones

The instinct is volume, one per vertical, one per use case, a logo wall of proof. Most of those end up as three hundred words of soft claims because there was not enough real material to fill them.

A single case study with a named client, real figures, a specific implementation account, and honest mention of what did not go smoothly is more citable than five that say a leading provider improved efficiency. It is also considerably more persuasive to humans, which matters given they are the ones signing.

Including what went wrong is the strongest differentiator available and almost nobody does it. A case study noting the rollout took six weeks longer than planned because of a data migration issue reads as an account of something that happened. Uniformly positive narratives read as marketing regardless of whether they are true.

Checking Whether Yours Get Used

Ask an engine whether your product works for a specific use case your case studies cover. If the answer is generic or cites someone else, your evidence is not being picked up.

The NotionCue AI Answer Gap Finder shows which sources currently answer proof style queries in your category. Competitors winning those with thinner content usually means their case studies contain extractable specifics and yours do not.

Start your free NotionCue trial and test use case queries rather than brand queries. That is where case study content should be doing work.

Test for anything you have published: strip out every adjective and see what facts remain. If the page is now empty, it was never a case study.

Common Questions

What if legal will not approve specific numbers?
Push for a range or a percentage rather than accepting a vague claim. Reduced processing time by roughly forty percent is approvable more often than an absolute figure and it remains extractable.

Should case studies be gated?
Gating removes them from AI visibility entirely, same as the pricing situation. If lead capture matters more than visibility for a specific asset, gate it deliberately rather than gating everything by default.

Do video case studies work?
Only with a transcript on the page, for the reasons in the video transcript guide. A video testimonial with no text is invisible.
